1. Information We Collect

InsuranceVault collects information you provide directly, including your name, email address, phone number, and insurance policy documents you upload. We extract structured data from your policy documents including policy numbers, coverage limits, premium amounts, beneficiary designations, and key dates.

2. How We Use Your Information

We use your information to provide the InsuranceVault service, including storing and parsing your insurance policies, sending you proactive SMS alerts about time-sensitive policy events, and answering your questions about your coverage. We do not sell your individual data to any third party. We will never sell your data to insurance carriers.

3. SMS Alerts

By providing your phone number and opting in during account registration, you consent to receive SMS alerts from InsuranceVault about your insurance policies. Message and data rates may apply. You may opt out at any time by replying STOP to any message or updating your preferences in your account settings. Message frequency varies based on the policies you upload and their key dates. Your mobile phone number and your SMS consent are not shared with or sold to any third party for that party's own purposes. We disclose your mobile number only to the messaging provider that delivers these messages on our behalf.

4. Data Security

We protect your data using industry-standard security measures including TLS encryption in transit, field-level encryption for sensitive data at rest, and strict access controls. Your policy documents are stored securely and are only accessible by you and, if you choose to connect one, your authorized advisor.

5. Advisor Access

If you connect a financial advisor or insurance agent to your account, they will have read-only access to your policy data. All advisor access is logged and visible to you in your account settings. You can revoke advisor access at any time.

6. Third-Party Processing

To provide the service, we share information with third-party providers that process it on our behalf, only to operate the service:

• Document reading and answers: the text and images from your uploaded policy documents are sent to a third-party artificial-intelligence provider that extracts your policy details and answers your coverage questions.
• File storage: your uploaded document files are held by a third-party cloud storage provider and are encrypted while stored.
• Payments: subscription payments are handled by a third-party payment processor; we do not store your full card details.
• Notifications: email and SMS messages are delivered by third-party providers. These messages do not include your coverage amounts, policy numbers, beneficiaries, or document contents. A message may refer to a policy in general terms so you know which one needs attention.
• Bot and abuse prevention: on the account-creation and password-reset pages, we use a third-party bot-detection provider to distinguish real people from automated abuse. For this check, that provider receives your IP address and browser signals from those two pages. It does not receive your policy documents, your account contents, or any health information.

7. Data Retention and Deletion

You may delete your account at any time from your account settings. When you do, we permanently delete the insurance policies in your vault and the document files stored on them. We then retire your account record: we remove your name and phone number, and replace your email address with an anonymized value that no longer identifies you.

A limited set of records is kept as an append-only audit trail that account deletion does not erase: advisor-access log entries, your consent records (what you authorized and when), and your legal-acceptance records (including the IP address and browser user-agent captured when you accepted these documents). We keep these because they are the evidence of who authorized what — erasing them would destroy your own record of the permissions you granted and the terms you agreed to.

You can also export a copy of your account details and a summary of each policy (such as carrier, type, policy number, insured name, premium, and renewal date) as a downloadable file at any time. This export is a data summary; it does not include the original document files you uploaded.
